o The user needs to choose the file and move to the utilities and move to condense data command.
o This will open the first condense data dialog box

o Select all the transactions before a specific date in radio tab
o Make an archive copy of the QuickBooks data file and lean down the working company file so that it is not so big
o QuickBooks decreases the size of the working version of the company data file by removing old and closed transactions

o The user needs to enter the date in the date box before which the user wants to remove closed transactions
o Condense command also creates files without transactions and files with only a specified data range of transactions. For creating such a file that holds lists and preferences but no transactions, click on all transactions radio tab and enter the dates that bookend the range using the before and after boxes

o Click on next

o Select the summarization approach you wish on the radio button

o This will display the third dialog box after summarizing had done

o Select the keep inventory transaction details tab
o Click on next and fourth condense data dialog box will open

o Click next and you will get the fifth condense data dialog box

o Select the checkboxes to remove the unused list items
o Move to next

o Confirm and verify the condensing and archiving process
